How do I Age Up Teams in Bulk?

Overview

The Age Up Teams tool lets an organization move every team from a completed season into the next age division in a single bulk action, instead of editing teams one at a time.

It is used at the end of a season when teams need to advance to the next age group before registering for upcoming events. For baseball, this is typically done in August, after the summer season ends (late July / early August) and before fall events begin.

Aging up teams in bulk matters because it keeps the same teams and the same rosters intact. Coaches can continue using their existing teams to register for new events without recreating anything. The process also automatically updates team names when the age division is included in the name (for example, Elite Baseball 13U becomes Elite Baseball 14U).

The green AGE UP TEAMS button is located in the upper-right corner of the Teams listings page, next to the ARCHIVE and RESET ROSTERS buttons.

Step-by-Step Instructions

  1. Click the TEAMS tab in the top navigation bar to open the Teams listings page.
  2. In the upper-right corner, click the green AGE UP TEAMS button. The AGE UP TEAMS pop-up window opens.
  3. In the first dropdown, select your sport (for example, Baseball).
  4. In the second dropdown, select the season that just finished (for example, 2026 Season).
  5. Review the three columns:
    • EVENT DIVISION (left) — the division each team registered for in their first event of the selected season.
    • TEAMS' NEW DIVISION (middle) — where you place the division each group of teams will move up to.
    • DIVISION OPTIONS (right) — the list of available divisions you drag from.
  6. From the DIVISION OPTIONS column, click and drag the correct new division into the TEAMS' NEW DIVISION column, aligned to the matching EVENT DIVISION row.
    • Example: 7U ages up to 8U, 8U ages up to 9U, 9U ages up to 10U, and so on.
  7. Continue working down the list until every division has a new division assigned.
  8. To remove an incorrect assignment, click the red X on that row in the TEAMS' NEW DIVISION column.
  9. When all divisions are set, click the blue SAVE button in the lower-right corner.

Saving reclassifies every team in each division into the new division you assigned.

Field Reference

Sport dropdown
Selects the sport whose teams you want to age up. Appears at the top-left of the pop-up. Example: Baseball.

Season dropdown
Selects the season that was already played. Appears at the top-right of the pop-up, next to the sport dropdown. Example: 2026 Season.

EVENT DIVISION (left column)
Displays the division each team registered for in its first event of the selected season. This column is read-only and defines which teams each row will affect.

TEAMS' NEW DIVISION (middle column)
The target column. Drag a division here to set where the matching teams will move. Each populated row includes a red X to remove the assignment.

DIVISION OPTIONS (right column)
The source list of all available divisions. Click and drag from here into the TEAMS' NEW DIVISION column.

RESET button (red, lower-left)
Clears the current assignments so you can start the mapping over.

SAVE button (blue, lower-right)
Applies the aging-up changes to every team in the mapped divisions.

Report button (blue, upper-right)
Opens a report of the age-up changes that were made. Use it to review results or confirm the process ran correctly.

X button (red, upper-right)
Closes the AGE UP TEAMS pop-up.

Best Practices

  • Run Age Up Teams once per completed season for each sport, after the season ends and before the next season's registration opens.
  • Create a division in your divisions library called Aged Out for teams that can no longer play in your events. For example, set 18U teams to age up to Aged Out when they finish travel ball.
  • After saving, click the blue Report button to verify the changes before coaches begin registering for new events.
  • If age divisions are included in team names, confirm names updated correctly (for example, 13U Black → 14U Black).

Common Issues

I made a mistake in the mapping. Can I fix it?
Yes. You can reopen AGE UP TEAMS and repeat the steps. Use the red X on a row to remove an incorrect assignment before saving, or use the Report button to review what changed.

How do I remove teams that have aged out of my events?
Create an Aged Out division in your divisions library, then set the highest applicable division (for example, 18U) to age up to Aged Out.

Will this rename my teams?
Only when the age division appears in the team name. Teams that include their division in the name are updated automatically (for example, Test Team 13U Black becomes Test Team 14U Black). Teams without a division in their name keep their existing name.

Where do I confirm the process worked?
Click the blue Report button in the upper-right of the AGE UP TEAMS pop-up after saving to see a report of every change.
