AC Sports is a premier organizer of travel tournaments for athletes, ages
8 – 18. The Pittsburgh, PA-based organization opened in 2007. President & CEO Matt DeSantis saw a need for high-quality travel tournaments.

Today, AC Sports hosts 1,300 teams for 40+ events yearly throughout the Eastern United States, generating millions in economic impact. T1 Housing handles travel, contracting 20k+ room nights for AC teams annually.

The Challenge:

In the early days, AC Sports faced significant housing hurdles.
Here are the key pain points:

Low Visibility 

Each team handled their own travel arrangements. Without a centralized system, AC Sports had no easy way to tell if families had booked hotel rooms for upcoming events. 

Inefficient Operations 

Later, the organization adopted point solutions, using different tools for specific tasks. The problem? These platforms didn’t share data. AC Sports spent roughly three hours/week from October to April tracking registrations and bookings on separate systems to ensure teams met stay-to-play requirements.

Sold-Out Hotels 

With hotels near sports venues selling out quickly, many teams stayed at properties more than an hour from their events. The long drives frustrated families and created chaos when schedules changed at the last minute. 

Poor Retention 

These issues raised concerns about customer retention. “Managing team housing takes a lot of time,” DeSantis says. “Instead of planning tournaments, you can end up doing damage control. You don’t want to run outstanding competitions only to lose customers because of bad experiences off the field.”

Every AC Sports event has its own branded reservations website to streamline booking. On the backend, Staybook makes it easy to link registrations to room blocks, so teams earn credit for more reservations. 

Custom Communications  

System admins can segment lists and batch-message emails based on the event, division, booking status, and more. Targeted communications spur reservations and keep participants in the loop.

Future Plans

AC Sports views its relationship with Staybook as an ongoing partnership helping to fuel initiatives for continued success.

Multi-Division Tournaments: Historically, AC Baseball and AC Softball have been exclusively for competitive teams. The organization is adding divisions to welcome players of all skill levels, while maintaining its longstanding programs for more competitive teams.

Affiliate Network Program: AC Sports recently launched an innovative affiliate program, bringing 25 events under its umbrella within the past 18 months. This initiative allows smaller tournament organizers to tap into AC Sports' resources and expertise.

Sports Diversification: Another recent addition, AC Basketball, now complements AC baseball and softball tournaments.  

Geographic Market Expansion: With new events in Buffalo, NY, and Williamsburg, VA, the organization continues to scale.

“Playing baseball as a kid taught me a lot of things, like time management and responsibility,” DeSantis explains. “One of the biggest things I took away from baseball was that I always had a goal. When I reached that goal, I looked to the next one."

“I’ve carried that thinking into the business,” he adds. “We’re always asking what’s the next goal, how can we improve and take the next step.”
